Learn briefly and easily how to create a new document from the images of another one.

See how in a few steps you can have a PDF with only the images attached in the tag fields of a document uploaded to Gladtolink, all automated through a trigger.

“In a few steps you can have a PDF where only the attachments of another document will be represented”

The first step is to create a new tag and a new form, This form should have as many graphic fields as you want to represent in the new document. For this example, we have created a tag called Images with five graphic fields.

In order to format your document, you must create a template where you will add as many fields as images you have added to the previous tag form.

In this tutorial we are going to use an XML Template, since it is more powerful and simpler than a PDF, although the process would be just as easy if you want to use a PDF template.

Now, you have to link each field of the tag to a field of the template. If the nomenclature of the fields and the template are similar, you can use the smart link using the button with the magic wand.

We leave you the template that we have used in the example in this link..

Once the template is configured, you must save the changes and go to the next and last step.

You already have the new tag and template. Now, prepare the automatic action that will generate this document: the trigger.

The first thing to do when creating a trigger is to choose when you want it to run, based on how your use case works. The most common way to upload documents with attached images is through an automatism, so in this tutorial we are going to use the Automatism event executed -> Generated document.

Once you have configured the event, you must choose the action. In this case we are going to choose Create new document based on template.

Now, you have three actions:

  1. Choose the template you are going to use, that one you have just created
  2. Give a name to this new generated document.
  3. Select the tags you want to add, at least, the new tag that will collect the graphics.

Now you only have to define how the new graphic fields should be filled. Link each of the images on the automatism to one of the images of the new label. When the trigger is executed, the data will be filled and the images will be shown in the new template.

Haz clic en el botón editar.

By following these simple steps you can create a new document from another’s data automatically. In this example we have emphasized graphic fields, but this same method can be used for any data that we want to transfer to another document and show it within a template.

We hope this information has been helpful to configure new features in your use cases and that it will inspire you to automate even more processes with our tool.
